Information we collect
Information you give us
When you submit our contact form, we collect your name, email address, and enquiry message, along with phone, role and organisation if you choose to provide them.
Information collected automatically
If you accept analytics cookies via the cookie banner, we use Google Analytics to collect information about how visitors use the site — pages viewed, referring site, approximate location, and device/browser type. This is not collected unless you consent; see Cookies below.
Information used to protect the site
We apply rate limiting to the contact form based on IP address to prevent spam and abuse. This does not involve cookies or any third party. The IP address is used only to detect an unusually high number of submissions and is not retained beyond that purpose.
Cookies
We use two categories of cookies:
- Necessary – a session cookie that keeps the contact form secure (CSRF protection). This is required for the site to function and cannot be switched off.
- Analytics – Google Analytics cookies (e.g.
_ga,_gid) that help us understand site usage. These are only set if you accept them via the cookie banner.
You can change your choice at any time using the Cookie Settings link in the site footer.
How we use your information
- Responding to enquiries – to answer questions submitted via the contact form, on the basis of our legitimate interest in responding to business enquiries (and, where your enquiry relates to a potential contract, to take steps at your request before entering into one).
- Site analytics – to understand how the site is used and improve it, on the basis of your consent, given via the cookie banner.
- Protecting the site – to detect and prevent spam and abuse of the contact form, on the basis of our legitimate interest in keeping the site secure.
Who we share it with
We use the following third-party processors:
- SMTP2GO – delivers contact form enquiries to our team by email. We use SMTP2GO's EU data centre (Amsterdam), so this data is processed within the European Economic Area, under a Data Processing Agreement with SMTP2GO.
- Google – provides Google Analytics (with your consent) and its Tag Manager script used by the site. Fonts used on this site are hosted by us, not Google.
Where a provider processes data outside the European Economic Area, we rely on the safeguards they provide, such as the EU Standard Contractual Clauses. We do not sell personal data or share it with third parties for their own marketing purposes.
How long we keep it
We retain contact form enquiries for as long as needed to respond to you and, where an enquiry leads to a business relationship, for as long as reasonably necessary to maintain our business records afterwards. Analytics data is retained according to our Google Analytics account settings. If you'd like a specific record deleted sooner, contact us using the details above.
Your rights
Under the GDPR, you have the right to:
- Access the personal data we hold about you
- Have inaccurate data corrected
- Request erasure of your data
- Object to, or request restriction of, our processing
- Receive your data in a portable format
- Withdraw consent for analytics cookies at any time, via Cookie Settings in the footer
To exercise any of these rights, contact us at dublin@vitrosoftware.com. If you're not satisfied with our response, you have the right to complain to Ireland's Data Protection Commission at www.dataprotection.ie.
Children
This website is intended for a business audience and is not directed at children. We do not knowingly collect personal data from children.
Changes to this policy
We may update this policy from time to time to reflect changes to the site or our practices. We'll update the "Last updated" date above when we do.
