BreastScreen Victoria Go Live with Vitro Software’s Digital Medical Record at St Vincent’s BreastScreen Assessment Clinic

BreastScreen Victoria now manage assessment client records 100% digitally at St Vincent’s BreastScreen Assessment Clinic

BreastScreen Victoria (BSV), the Victorian Government’s breast cancer screening program, went live with Vitro Software’s specialised Breast Screening Digital Medical Record (DMR). Staff at St Vincent’s BreastScreen, located at St Vincent’s Hospital, Melbourne have now moved away from paper records and physical whiteboards. Staff now manage all client records digitally. They can track a client’s assessment journey directly from their workstations using a fully digitised Client Journey Board. The Journey Board colour-codes the client status in real time assisting staff to track client progress through the assessment clinic, creating operational efficiencies for BSV and providing clients with an improved experience.

St Vincent’s clinic is the first of the state-wide go lives, with another seven assessment clinics to follow in early 2021. Despite interruptions due to COVID-19, the BSV and Vitro Software teams have worked together to ensure a successful go-live. The importance of the system is re-enforced by the recent pandemic as the Vitro DMR removes the necessity for staff to gather to review the physical client journey board or to share paper client records, assisting the clinic to implement COVID-19 safe work practises. In 2019, BSV completed a pilot project with Vitro Software. Its success enabled BSV to make the decision to use Vitro’s Digital Medical Record across the state. Since then BSV has continued to use Vitro, while the teams have worked together to expand the pilot functionality, digitising the assessment process from start to finish, enhancing the digital Client Journey Board, and integrating it with other systems in BSV such as the Radiology and Patient Administration Systems.

BSV’s clinical team no longer require paper charts. They now manage their clients’ medical records digitally, giving them immediate access to the complete client record, saving time on administration and enabling the clinical team to assume responsibility for electronic record keeping.

Dr Helen Frazer, Clinical Director at St Vincent’s BreastScreen, said: “Our team at St Vincent’s Hospital are now using Vitro to record all client assessments digitally. It is intuitive and easy to use, has made client information more accessible during the assessment clinic, and has reduced the amount of time we spend on administration.”

Georgina Marr, Director Information Technology at BreastScreen Victoria said: “We look forward to continuing the state-wide rollout so that all of BreastScreen Victoria’s assessment clinics move to complete digital management of client records. We are also pleased that Vitro has been able to integrate with our existing systems to provide further efficiencies that have a real impact for our clients and users.”
